Website use, club information, memberships, and event participation

Please read these terms carefully before using this website or engaging with an independent club

These Terms and Conditions apply to your use of this website and to certain interactions with Independent New Zealand Cavy Clubs, including enquiries, memberships, show entries, and event participation. By using this website, submitting a form, or engaging with a listed club, you agree to these terms.

These terms are intended as general website and club conditions. They should be read alongside any specific club rules, show schedules, entry forms, membership forms, policies, or event conditions that may apply to a particular club, show, or activity.

Independent Clubs

Each club operates independently

Club-specific details may vary

The clubs listed on this website are independent clubs. While they may be connected through the wider cavy community and may operate under recognised judging standards, each club is responsible for its own events, schedules, venues, memberships, communications, and day-to-day decisions.

Information on this website is provided as a general guide only. Club details, contact information, venues, dates, schedules, fees, and event formats may change from time to time. We recommend contacting the relevant club directly to confirm any current details before making plans, submitting entries, or attending an event.

Website Content

Information is provided in good faith

We aim to keep details accurate and up to date

We make reasonable efforts to keep the information on this website accurate, current, and useful. However, we do not guarantee that all content will always be complete, current, or free from errors. Clubs may update their arrangements, documents, or contact details at any time, and some information may change before the website is updated.

The content on this website is intended for general information only and should not be relied on as veterinary, legal, financial, or professional advice.

Club Enquiries and Contact Forms

Enquiries may be forwarded to the relevant club

We use your details to help connect you with the right contact

If you submit an enquiry through this website, your message and contact details may be forwarded to the relevant club or appropriate club representative so they can respond to you directly. By submitting an enquiry, you agree to your information being used for that purpose.

You are responsible for ensuring the details you provide are accurate and up to date. We are not responsible for delays caused by incorrect contact information, incomplete submissions, or failure by a third party to respond.

Memberships

Membership terms may differ between clubs

Please check the club’s current conditions before joining

Membership fees, eligibility, benefits, renewal dates, and club expectations may vary between clubs. Any membership application is subject to the rules, processes, and approval requirements of the relevant club.

Membership fees are generally non-refundable unless the relevant club states otherwise or unless required by law. Where a club provides goods or services in trade, your rights may also be affected by New Zealand consumer law. The Consumer Guarantees Act can apply to products and services sold in trade in New Zealand.

Show Entries and Event Participation

Event details may change

Entry, attendance, and participation are subject to club conditions

Show schedules, classes, venues, judges, entry fees, and event timings may change at short notice. Clubs reserve the right to alter, postpone, combine, reschedule, or cancel events where necessary, including where this is required for animal welfare, safety, venue issues, low entries, illness, weather, or circumstances outside the club’s control.

By submitting an entry, you agree to follow the applicable show rules, schedule, and any directions given by the Show Manager, judge, or club officials on the day. For cancelled or changed events, refund or credit arrangements should be set out in the relevant terms and conditions, and event rights in New Zealand are often determined by those terms.

Animal Health and Welfare

Welfare must always come first

Clubs may refuse entry or attendance where needed

All guinea pigs and other animals brought to a club event must be healthy enough to travel, fit to attend, and handled responsibly. Clubs may refuse entry, remove an animal from a show, or ask an exhibitor to leave if there are concerns about health, welfare, aggression, distress, cleanliness, safety, or compliance with the event rules.

Owners and exhibitors remain responsible for the care, handling, transport, feeding, and supervision of their own animals at all times unless expressly stated otherwise.

Conduct at Events

Respectful behaviour is expected

Clubs may act where conduct is unsafe or disruptive

All members, exhibitors, visitors, and attendees are expected to behave respectfully towards judges, stewards, officials, volunteers, venue staff, and other participants. Bullying, abuse, harassment, threatening behaviour, unsafe handling of animals, or deliberate disruption of an event may result in removal from the event or refusal of future participation.

Clubs also reserve the right to enforce event rules relating to pens, ear tags, grooming, judging procedures, stewarding, and exhibitor conduct.

Photos and Publicity

Events may be photographed

Images may be used for club and website promotion

Photos and videos may be taken at club events for promotional, educational, archival, or social media purposes. By attending a club event, you acknowledge that images of you, your children, or your animals may be captured and used by the club or on this website, unless you notify the relevant organiser in advance that you do not consent.

Where practical, clubs should respect reasonable privacy requests, especially in relation to children.

Privacy

Personal information should be handled appropriately

Information should only be used for relevant club purposes

If personal information is collected through this website or by an affiliated independent club, it should be collected, stored, used, and shared only for appropriate club-related purposes, such as responding to enquiries, processing entries, managing memberships, or communicating event information. In New Zealand, the Privacy Act 2020 applies to organisations including social clubs and other groups when they collect, use, store, or disclose personal information.

The Privacy Act 2020 includes 13 privacy principles governing how personal information is collected, stored, used, and shared, and people in New Zealand have rights to access and request correction of their personal information.
